Teambase Overview

Teambase is designed in modules, so organizations can fine-tune a solution to meet current needs and plan for growth.  Teambase is available as a web client, as a native application for Macintosh and PC users, and in any combination simultaneously.

Teambase is so powerful because it is so flexible.

At its core, Teambase provides a way to store digital documents of every type and display and deliver those documents to users.  Teambase captures data about documents and makes it simple to add more data, so that it’s easy to retrieve the information you require.  Teambase also manages how documents may be modified, assuring that a file can be changed only by one person at a time, and only by those with appropriate permissions.

Teambase modules provide specialized features for particular industries, including publishing, manufacturing, library, and corporate environments.  Other Teambase modules provide add-on tools appropriate for every sector, including automation, XML processing and redistribution, order fulfillment, and extended graphics editing.  Modules are designed to be tunable, without requiring custom software.

But no matter which modules you add on, Teambase’s fundamental strengths are available:

  • Content Management: Teambase stores and retrieves digital documents of all types, including all proprietary formats and graphics.  Several applications, when tightly coupled to Teambase, provide special control and automation.  These applications include Microsoft Word, Microsoft Excel, Microsoft PowerPoint, QuarkXPress, Adobe Photoshop, InDesign, and Portable Document Format (PDF)

  • File Previews: Teambase creates graphical previews for all standard graphics formats, including thumbnails, same-size low-resolution files, and other sizes for specialized purposes.

  • The sizes, types and quality of the previews, as well as the number of previews created for each file, are easily configured.  This helps you locate file files quickly and repurpose files automatically for any custom uses.  As an option, Teambase also creates graphical previews for PDF files, QuarkXPress and InDesign pages, and Microsoft Office documents.  Plain-text previews are created for file types that include readable text.

  • Metadata capture: Data inside documents and document properties, including captions and other IPTC data, are automatically captured and brought into the Teambase database, with mappings you can easily customize.

  • Rights and permissions: Teambase provides fine-grained permission sets that grant and restrict access to files and functions at user, department and role levels.

  • Metadata management: For documents that don’t come in with metadata, Teambase provides easily customizable interfaces to add, edit and rationalize information.  This data can be used, for example, to track usage and copyright restrictions.  Data can be mapped from dropdown lists, or be available for free-form text.  This makes it easier to unify similar assets and documents to speed searching.

  • Searching: Teambase provides several tools that quickly deliver the files you need.  Simple searches, advanced queries, one-click queries and customizable interfaces are available, looking at metadata.  As an option, text inside PDF files, QuarkXPress and InDesign pages, and Microsoft Office documents is automatically indexed to provide full-text searches.

  • Audit trails: Teambase maintains version histories of all documents, saving versions of documents as they change, and saving a history of metadata changes.  Preserve as much or as little version history as your organization needs.

  • Content integrity:  Teambase assures the integrity of data by ensuring that a document, even if viewed by many simultaneously, can only be changed by one user at a time.  With publishing modules, this integrity is preserved not only with files, but within layout geometry.

  • User-based environments: User preferences and options follow the user login, independent of the workstation or platform, or whether you’re working on a desktop or over the Web.

  • Administrative tools: Modular tools allow tunable access to rights, permissions, and a variety of set-up parameters.

  • Automation and application integration: Highly scriptable, Teambase easily drives external third-party applications, including automation of Microsoft Word, QuarkXPress, Adobe InDesign and Photoshop.

  • Relational database: The Teambase database is ODBC compliant – even for Mac users on OS X.

  • File protection: Files can not be accidentally removed from the Teambase system.  Files that have been removed from a workflow are held in a pre-delete state, to be purged at times scheduled by a system administrator.

  • Folder-like working environment: Users are presented with simple interfaces, and can choose to interact inside a folder-like environment.  Or, users can opt for more sophisticated methods of viewing and moving data.

  • On- or off-site: The Teambase database can be located either at a customer site, or off-site, through an Application Service Provider.  Teambase has extensive experience in both environments.
